Migration Management

As involved as you want us to be. Seed to bloom, and everywhere in between.

How involved we get

Pick the level that fits your team, not the other way around.

Most firms don't want the same amount of help on every project – and the right level for a small, contained migration isn't the right level for a full platform switch. These four are reference points, not a menu you're locked into.

Seed

Advisory only

You run the project. We're a sounding board when you need one – including help choosing a database – without taking the wheel.

Sprout

Selection & requirements

We help you choose the platform and translate your team's needs into a real spec – then hand it off for your implementer to build.

Grow

Shared ownership

We sit in on every build call, catch what the implementer misses, and keep the project on schedule alongside your team.

Bloom

Full ownership

We run point with the software implementer end to end, through 60 days after go-live. Your team joins touch-base calls and answers questions when we need something – otherwise, it's handled.

How it runs

Three phases, same team throughout.

1

Define what you need

Sessions with your team to map current data, pick the new platform, and write down what a successful migration actually looks like.

2

We run the build

We work the calls with the software implementer, translate between what your old system did and what the new one needs, and flag decisions that need your input – and only those.

3

Handoff & training

Your team gets a system that's ready to use, not just technically finished – plus whatever training or documentation makes the switch stick.

Seed runs month-to-month, for as long as you'd like. Sprout takes 4–8 weeks to select the platform and complete the build-out spec. Grow runs 3–6 months, following your implementer's build schedule. Bloom runs 4–8 months, including 60 days of support after go-live. At Grow and Bloom, your implementer's schedule sets the calendar – we work within their timeline and flag any data issues early, before they cause delays.

What it costs

Scoped to the level you choose.

A fixed fee for each phase, quoted after the Data Health Audit and billed in monthly installments. The fee does change by level, since each level includes more of our time and involvement – but we don't bill hourly, and we never charge a percentage of the build cost. Your fee stays predictable, and our recommendations are never tied to how much you spend on a platform. If the scope changes along the way, we'll agree on it in writing before any additional work begins.

Do we still deal with the software implementer directly?

At Grow, yes – we're on every build call alongside your team, so you have an experienced data partner in the room for each decision. At Bloom, we handle the day-to-day calls with your vendor; you'll join only the key decision points, such as kickoff, data-mapping sign-off, testing review, and go-live approval. We'll prepare you ahead of each one so they're quick and focused. It's your database, so the final decisions stay with you.

Does this replace the audit, or come after it?

The audit comes first, and the two don't run at the same time. The audit is how we scope and price your migration work accurately, so you're not paying for guesses. Your audit fee is credited toward Migration Management if you sign within 60 days.

Can we change involvement levels mid-project?

Yes. You can move up a level at the start of any new phase. Moving down also happens at the start of a phase, with 30 days' written notice. Either way, the fee adjusts for the remaining phases, and we'll confirm the change in writing.

Get started

Start with the audit.

One conversation, one fixed fee, one real number for what your data actually needs.

You'll be on the call with the person doing the work. I've led multiple CRM migrations from the client side, and every time, clean data to the implementer was on me. Once with no data team at all. Now I do it for you.
